Hey guys-
You know how you have those special events, or 1-time gigs that happen at the church....they aren't on the regular "to do" list, just things that occasionally come up....the special event, the funeral, the wedding, etc.
When these issues come up, how do you handle them? Do you charge for a technician? Do you staff it with volunteers, or staff? Do you prioritize the events? If you charge, how do you do that?
I'd like to hear how you guys handle these types of issues...a touchy subject I assume for some of you.....

I do a huge event called "Worship Under the Stars (http://www.theworshipunderthestars.com)" ... 2005, 2006, and too much happening here in 2007, but hopefully in 2008 ... and I actually fly this guy out from Vegas, all the way here to Georgia ... and pay him for the week to be the Tech Director of the whole shabang .. it's worth it to have his expertise on site, and he comes with a passion for the event ... oh, wait .. YOU'RE THE GUY!

I miss it already....I am usually 2-3 months into planning by now....

We don't have a set system yet but are developing one now as we head into a new building and higher demand. Right now we leave it to the people who are 'renting' the facility. If they can find a person who we deem 'worthy' then we let them handle it. If we have to provide someone for it then we usually try to get some compensation for them. If it ends up being a staffer that has to do it, at the very least, we comp the time.
We are trying to develop a plan for this in the new building. Like a set rate per person for the first two hours and then a per hour fee after that. Any ideas?

Chris put some things together that we are using now, I think he used some CRCC stuff in that. I will ask him.
His suggestion was $60/hour, but that just seemed steep to me. Well, for here at least.

We have used a local guy in the past who has done some great work for us. His rate seemed to change on the fly depending if he wanted to charge us at all because we are a church

Weddings that use any part of our sound system require a sound person of ours. Sometimes there is a video person required too. The cost is $75 per person. We usually have to go for like an hour on the night before for rehearsal, and then a couple hours the day of. They can include our fee in the cost for renting the facility, then the church can pay us, or they can give it to us personally. But, on top of the $75, we are normally invitied to the rehearsal dinner and reception. (Food, food, food!) :D

We have a set rate of $75 if there is an event like a wedding or funeral that requires tech people to be involved. That fee covers 4 hours of time and it's $15/hour on top of the 4 hours.

Well, I see I am a few months behind on responding to this but this is a good question and a very familiar one. For us at Shoreline, you receive a packet of info (it's even on the web site) that outlines the costs. There is a $100 fee for A/V. This is usually a simple setup and I have a guy that heads it up, either he does the event or finds someone else to do it.
For funerals there is no fee. For other "Shoreline events" there is no fee. We frequently rent out our venues and we do have a pricing schedule for those events, prefessional rates. We have about two outside events a month in our large venue. This creates and opportunity for the tech staff to do something out of the box and spread their wings.
I know that many churches will have a fee for A/V for weddings but most do not for funerals.

Yeah we don't normally charge funerals for tech rental but we still pay our sound guys who do the event.
