Alright folks, I need help. We are researching management software for our new facility. Our Service & Environments Coordinator has given me the charge of finding software that fits our needs. To give you a little background, we are currently using Church Community Builder and it is great for people and groups management but not rooms and resources. She has scoured the internet and not found anything that she liked. We are a Mac environment so Mac friendly or web based are requirements. I am currently considering two things mainly (iCal Server through Leopard Server and Filemaker Pro with a custom build) and we are also re-investigating EventU. She didn't like EventU but our Assoc. Tech Director used it elsewhere and liked it so we may reconsider.

Here is what we are looking for (I am copying her email request to me):
I need this system to be able to allow me to:

1. Type in a date (or click on a calendar date) and see what rooms are available without having to click on each calendar event to see what room is being utilized.

2. Place an event on the calendar, and a room location, and have the system tell me if there is a room conflict.

3. The same goes for equipment/resource requests so that double booking is eliminated.

4. Type in a resource (equipment) name and see its availability for particular dates.

5. Attach resources to events/functions. (Not uploading files but showing that a particular event has reserved certain resources.)

6. Set up my own resource list with item name, quantity, location of item, and notes.

7. I'd like to be able to email new events to others that may be affected by the event. (ex. facilities manager, tech team)

8. I'd like to be able to have a form that has requests for rooms or equipment online for others to fill out and then have the form come directly to me. (This we know we could do separately with our web guy.)

9. Be able to have up to 40 different room names or room numbers in the system.

10. How many people could update, edit this information?

Oww it hurts. Oww it hurts.

Our facilities program is fairly decent and I'll pass it on. I don't think it is seamlessly integrated into our database. I'll ask Martha on Monday. Fellowship One might do this if you have someone who could weekly hold up a bank for the cost of it.

Okay I asked Martha. We use EMSLITE which is available for Mac I believe.

SORT OF, IF YOU HAVE A REPEATING SCHEDULE (EX> WEEKLY BIBLE STUDY) AND ONE DAY CONFLICTS WITH AN EVENT, IT WON'T TELL YOU WHICH DAY, IT JUST WILL DECLINE THE RESERVATION. YOU HAVE TO FIGURE OUT WHAT SPECFIC DAY IS THE CONFLICT.

10. How many people could update, edit this information? EVERYONE HAS ACCESS, BUT YOU DON'T WANT TOO MANY COOKS, WE ONLY LET MARTHA DO IT, SHE GETS REQUEST FORMS AND DOES IT

Thanks for the info Trench. We are gonna look into that. I will be sure to at least post what we end up using.

Still working on it. Chris was attempting to build a php database but doesn't think he has the time to get it right before we need it. Back to the drawing board. Potentially iCal Server or Filemaker now.
